Effective Business Communication

The way people transmit business information has changed very dramatically within the last 10 to 15 years. At one time there was only one method of conveying a company' message and that was through the printed media. And what a slow, expensive and cumbersome way of doing business that was. The internet explosion has changed the way business communicates within such a short space of time that it is breathtaking.

Yet there is still a place for paper media in modern business. And there always will be as long as people meet to do business or discuss trends and advances in their particular industry or profession. People who visit seminars and exhibitions will always want to gather printed information to take with home with them to show to their colleagues and store in their archives. Smaller companies who are interested in having brochures and fliers printed can take advantage in the developments in short run digital printing going on today. Now they can print runs of 300-500 units at a relatively low cost, instead of the thousands of copies that they needed to print under conventional printing methods. This is especially worthwhile for companies who are in a rapid state of expansion and are moving premises often. Their can keep their literature up to date without heavy outlays.

However the real breakthroughs in effective business communication have come through the electronic media that did not exist in any form till the last decade. Every company in the World can have its own wide site, up and running in next to no time, and at a negligible cost. Imagine that you are discussing a new product that your company has introduced to a client in Nicaragua for example. You know that the product can be good for them, and he is interested. Instead of rushing off to send a catalogue (which might not even be off the presses yet). The dialogue grounds to a halt until the mail arrives maybe two weeks later. Through electronic communication you simply direct them to a page on your web site. Within seconds he can be looking at picture or sketch of the product, be studying the technical specifications and calculating how many he needs to order. Much more effective, wouldn't you agree?

Companies can be in touch with potential clients anywhere and at anytime of the day or night. Decisions can be reached in seconds and negotiations can be conducted through the exchanges of e-mails. The internet also presents the opportunity to hold video conferences, where people can meet online. Not quite face to face, but as near as you will get till now without leaving your office.

Adobe Acrobat is an excellent program that produces Portable Document Files (PDF's). PDF's files that can be produced format and can be transported as e-mail attachments or downloaded from the internet in seconds. They can contain any form of documentation necessary in effective business communication. Minutes of meetings, professional articles, proposals, technical specification charts, company brochures, media files and price lists can be downloaded and printed in seconds saving valuable time in conducting a business transaction.

Whatever electronic or print media methods a company uses to pass on their message, it should be standardized. There is nothing more professional than to have the same livery or theme running through the entire company's literature.

Ultimately it is always preferable that people who are about to conclude a business deal should meet face to face, and in most cases this will happen. There is nothing to surpass a warm and firm handshake to build a relationship. However by presenting a professional and effective business communication front will go along way to causing the meeting to happen.
